POSITION SUMMARY
The Executive Assistant will work under the direction of, and provide administrative and operational support to, the WomenLift Health Executive Director. The EA will be an important member of the small and nimble WomenLift Health team helping to design, build and implement the ambitious WomenLift Health strategy and work program. This position plays a vital role in team resource management, meeting planning, as well as the execution of high-level convenings.
RESPONSIBILITIES AND TASKS
The Executive Assistant will work closely with the Executive Director on:
- Scheduling & Support:
- Calendar management: Manage complex scheduling and preparation for the Executive Director, internal team meetings, as well as external meetings with partners, both virtual and in-person.
- Meeting support: Help develop and share materials (agendas, support documents, etc.) in advance of meetings.
- External relationships: Develop productive staff-level relationships with partners to help efficiently plan and execute meetings and events.
- Event Planning & Execution:
- Event planning:
- Coordinate logistics for high-level convenings and events, with high level speakers, experts, and international leaders.
- Coordinate the logistical needs of the WomenLift Health Global Advisory Board, comprised of 20 senior global leaders who will meet once per year virtually and once per year in person at an international site that will be determined.
- Oversee the production and distribution of appropriate materials for each event, as well as managing the logistics and event itself within budget and supporting the preparation and dissemination of meeting summaries.
- Event staffing: Support staff in executing events, making sure logistics run smoothly and participants have required materials.
- Event planning:
- Administrative Support
- Logistics: Assist with travel arrangements, booking meeting space, and other logistical support as required
- Take notes and minutes during team and Board meetings and other priority meetings
- Compose, edit and/or draft presentation materials (Powerpoint), background documents (Word) and materials, reports and agendas for the WomenLift Health team and Global Advisory Board.
- Submit Executive Director’s travel expenses and reimbursements.
- Logistics: Assist with travel arrangements, booking meeting space, and other logistical support as required
- General Administrative Support
- Support members of the Senior Leadership Team with travel arrangements and other forms of support as prioritized and other duties as required.
EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITY
- Bachelor’s degree in a related field and 2 or more years of related experience in activities including project coordination, scheduling, tracking, and budgeting.
- Advanced computer skills and demonstrated experience with office software and email applications.
- Demonstrated success in following through and completing projects.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to prioritize and multitask.
- Ability to take initiative and ownership of projects.
- Ability to routinely and independently exercise sound judgment in making decisions.
VALUED AND NON-ESSENTIAL EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITY
- Background in global health, gender equity, and leadership development preferred
- Additional language preferred, but not required
